Synergie Australia is seeking a proactive Project Administrator to support national maintenance contracts located in the CBD.
Key Responsibilities:
Review, validate and process RM, CM, ESM PM, Novus PM works, rate variations, exception invoices, and subcontractor statements in Maximo/SAP.
Reconcile data, generate reports, and ensure compliance with contractual invoicing and payment terms.
Communicate with subcontractors regarding payments, resolve invoice queries, and host status meetings.
Support training of team members, assist in developing process documents, and identify process gaps for efficiency improvements.
Collaborate with Finance and Commercial teams to streamline processes and meet contractual obligations.
Achieve KPIs, particularly focusing on timely invoice processing within 60–90 day targets.
Key Requirements:
Intermediate MS Excel (Pivot Tables, XLOOKUP, formulas, charts), MS Office, and experience with ERP systems (preferably Maximo, Novus, SAP).
Background in high-volume, low-value environments and ticket of works processes; subcontractor and field staff coordination; data reconciliation and reporting.
High attention to detail, ability to meet deadlines and KPIs, problem-solving, process improvement mindset, clear communication, and ability to work independently or in a team.
Ethics, integrity, resilience, accountability, motivation, and leadership qualities.
No formal qualifications required.
