Synergie Australia is seeking a proactive Project Administrator to support national maintenance contracts located in the CBD.

Key Responsibilities:

• Review, validate and process RM, CM, ESM PM, Novus PM works, rate variations, exception invoices, and subcontractor statements in Maximo/SAP.

• Reconcile data, generate reports, and ensure compliance with contractual invoicing and payment terms.

• Communicate with subcontractors regarding payments, resolve invoice queries, and host status meetings.

• Support training of team members, assist in developing process documents, and identify process gaps for efficiency improvements.

• Collaborate with Finance and Commercial teams to streamline processes and meet contractual obligations.

• Achieve KPIs, particularly focusing on timely invoice processing within 60–90 day targets.

Key Requirements:

• Intermediate MS Excel (Pivot Tables, XLOOKUP, formulas, charts), MS Office, and experience with ERP systems (preferably Maximo, Novus, SAP).

• Background in high-volume, low-value environments and ticket of works processes; subcontractor and field staff coordination; data reconciliation and reporting.

• High attention to detail, ability to meet deadlines and KPIs, problem-solving, process improvement mindset, clear communication, and ability to work independently or in a team.

• Ethics, integrity, resilience, accountability, motivation, and leadership qualities.

• No formal qualifications required.
